Who is responsible for your information?
Bell to Sound is the consultancy operated by Phil Holden as a sole trader. Phil is responsible for the personal information collected through this website. For privacy questions or to exercise your rights, email phil.holden@belltosound.com.
When you contact us
The enquiry form asks for your name, email address and message. You may also provide your company, website, phone number and the service you are interested in. Please avoid including sensitive personal information in your message.
We use these details to understand and respond to your enquiry, arrange a conversation and manage any resulting business relationship. Providing the required details lets us reply; optional fields are not required to send an enquiry. Submitting the form does not subscribe you to marketing.
Where you ask us to take steps towards a contract with you, we use your information for that purpose. For other business enquiries, including enquiries made on behalf of an organisation, we rely on our legitimate interests in responding to requests and managing business relationships. We also use information where necessary to meet legal obligations.
Who helps us process it?
We use Tally to collect enquiry submissions, Attio to organise enquiries and follow-up tasks, and Google Workspace for email and calendar communications. Website hosting and technical service providers also process information needed to deliver and secure the website, such as connection and access information.
The form is embedded from Tally and connects to Tally when it loads, including when you decline optional analytics. Our workflow creates or matches a contact, records the enquiry and creates a follow-up task for Phil. Phil reviews and responds personally; the workflow does not decide whether to accept you as a client.
Optional analytics and campaign attribution
With your permission, we use Google Analytics 4, delivered through Google Tag Manager, to understand visits and measure successful enquiries. This includes page visits, browser and device information, online identifiers and campaign labels in website links. Google receives technical information such as your IP address when its services are used. We do not send enquiry answers, names, email addresses or phone numbers to Google Analytics through our enquiry-tracking implementation.
With analytics consent, this website also remembers the first consented visit and the latest tagged marketing campaign in your browser. It attaches those campaign details and the enquiry page to a submitted enquiry so we can understand how people find us. An earlier visit before consent may not be recorded.
You can reject analytics and still use the enquiry form. Use the consent-preferences button to change your choice or withdraw permission. Withdrawal stops our analytics loader on the reloaded page and clears our saved browser attribution; it does not automatically erase information previously recorded in analytics or an enquiry.
Cookies and browser storage
- cookieyes-consent: remembers your cookie preferences, for up to one year.
- Google Analytics cookies (_ga and _ga_*): distinguish visits after analytics consent; their lifetime can be up to two years.
- bts_attribution_v1: local browser storage, rather than a cookie, used for consented campaign attribution for up to 90 days.
Administrative login and security functions may use necessary cookies. Optional analytics is disabled unless you accept it. You can also remove cookies and local storage through your browser settings.
How long information is kept
We keep enquiry and correspondence records for as long as needed to respond, carry out relevant follow-up and manage an ongoing business relationship. In deciding whether a record is still needed, we consider whether the enquiry remains active, whether there is an ongoing client relationship, and any legal or contractual reasons to retain it, including the establishment or defence of claims. We delete or anonymise records when they are no longer needed. Browser-storage lifetimes above are separate from retention of submitted enquiries.
Processing outside the UK
Our suppliers may process information outside the UK. Tally states that it stores form data in Europe. Attio describes the use of adequacy decisions and approved contractual transfer mechanisms for transfers outside the UK or EEA. The applicable arrangements depend on the supplier and service. Contact Phil for information about the safeguards relevant to your information.
Your rights and complaints
Depending on the circumstances and lawful basis, you can ask for access to your information, correction, deletion, restriction of processing or a portable copy. You can object to processing based on legitimate interests. You can withdraw analytics consent at any time without affecting the lawfulness of processing before withdrawal. Some rights are subject to legal exceptions.
Contact Phil using the email address above. You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
