CRM & Customer Data Improvement

Put the right CRM and customer-data improvements into practice.

Following a Bell to Sound CRM Health Check, we agree and implement a focused set of changes to your data, lifecycle stages, ownership or sales hand-offs.

The project turns a prioritised finding into a defined piece of work. Before implementation begins, we agree what will change, who will be involved, how the work will be checked and the fixed fee.

Discuss your CRM improvements

Before we quote an improvement project, we complete a Bell to Sound CRM Health Check. It gives us the firsthand evidence needed to agree the priority, scope, checks and fixed fee. If you already have an audit or assessment, share it with us: relevant findings can help focus the Health Check, but we do not scope implementation from another provider’s diagnosis alone. The Health Check is a separate engagement. Explore the CRM Health Check.

When priorities need turning into working improvements

A prioritised CRM roadmap is useful. It is not the same thing as getting the problems fixed.

This service is for businesses with an existing CRM and a specific problem to address, whether or not they have a dedicated marketing team. Your Health Check might identify customer information that cannot be used reliably, lifecycle stages that mean different things to different teams, or leads passed to sales without a clear owner or follow-up process.

We use those findings to agree which improvement matters now. A project normally covers one CRM, one agreed process and one principal outcome. Closely connected changes can be tackled together when the proposal names the data, systems and work included.

Customer data you can use

CRM data does not have to be perfect. It does need to be reliable enough for the jobs you expect it to do.

For example, we could simplify fields, establish shared definitions, correct a selected set of records or reconcile information from named sources. We could also improve the rules for imports and data entry, so the same problems are less likely to return.

Where large-scale cleansing, migration or specialist data tooling is required, we scope that separately.

Lifecycle stages and sales hand-offs

Marketing may have one definition of a qualified lead and sales another. Ownership may be unclear. Follow-up may depend on spreadsheets, inboxes or individual memory.

A project could simplify the relevant stages, agree qualification and ownership rules, and specify what information must move with a lead or customer. Selected CRM changes can then support that process where they fit the agreed delivery capability.

The aim is to make the process clearer before adding more automation to it.

Ownership and supporting workflows

If nobody owns an important field or process, even a well-configured CRM can become difficult to maintain.

The work could clarify who maintains the data, who can change a process and how exceptions are handled. Supporting changes might include a simple notification, routing rule or removal of a redundant step, alongside guidance for the people using it.

Reporting checks may help confirm that the changes work. A dashboard build or detailed reporting repair would be a separate scope.

Why these problems keep returning

CRM problems rarely sit in one field or setting. An unclear definition can affect the data people enter, the way a lead moves between teams and who is expected to act next. Fixing one symptom without addressing those connections often leaves the original problem in place.

That is why the project uses the findings from a Bell to Sound CRM Health Check to narrow the work before implementation. The aim is not to change everything. It is to make one important part of the CRM and working process more reliable, with ownership clear enough for the improvement to last.

From priorities to working improvements

We agree the improvement, make and test the changes, then hand them over to your team.

01

Prioritised finding

A specific problem and supporting evidence from the Bell to Sound CRM Health Check.

02

Agreed scope

One CRM, one process and one principal outcome, with responsibilities, tests, fee and dates agreed.

03

Implement and test

The defined changes are made and checked, with client or specialist involvement where required.

04

Working handover

We record and review the changes, test results, responsibilities and work still to do.

The result is a defined improvement put into practice without turning the project into an unlimited CRM transformation programme.

What you receive

The changes set out in your proposal, implemented in your CRM or working process.

A concise PDF completion note covering what changed, test results and any remaining limitations.

An editable Excel record of the changes, acceptance checks and remaining backlog.

Updated process or data guidance where the work affects it.

A 60-minute handover with the relevant owner and users.

After handover, you have ten working days to ask questions and report any faults in the agreed changes. New features, routine administration and ongoing support can be agreed separately.

Scope, price and timing

A Bell to Sound CRM Health Check is completed and priced separately before we quote implementation.

CRM Improvement projects start from £5,000 plus applicable VAT. Using the Health Check findings, we set out the project’s scope, fixed fee and delivery dates before implementation. We identify specialist fees, licences and other external costs before you commit.

Full CRM replacement, major migrations, exhaustive database cleansing, custom integration development and ongoing administration are outside the standard project.

How the project works

Confirm the priority and scope

We use the Bell to Sound CRM Health Check findings to select the improvement, define the changes and confirm the people, access and decisions needed from your team. Tests, responsibilities and exclusions are recorded before implementation begins.

Agree the proposal

You receive a fixed-fee proposal and delivery dates for the defined work. If specialist help is needed, we agree the role and availability before committing to the project.

Implement and check the changes

Phil makes and tests the changes within his delivery capability. Where deeper platform expertise is required, he works with your CRM administrator or the specialist identified in the proposal.

You approve changes before they go live. We check the result against the agreed tests. If a new requirement or material dependency changes the scope, we explain its effect on the work, fee and dates before proceeding.

Hand over the working approach

We document the changes, review them with the people who will own them and leave the remaining backlog clear. You can continue with your own team, another supplier or a separately agreed follow-on engagement.

Experience behind the work

Phil is currently working with Manchester Storm to reconcile fan data and prepare for a lightweight CRM. That includes working through which records can be used, how fields should map and what needs checking before implementation. The CRM is not yet live.

With Thunder Town Music, Phil is working out what the business needs to record about venues, bookers and conversations before deciding whether a CRM is the right tool.

Earlier, Phil brought together account data for targeting and segmentation at OneStock and led a move from SAP to Microsoft Dynamics at Unify Square, working across marketing, sales, finance and IT.

We assess the platform and the actual changes required before accepting a project. Where specialist help is needed, the normal arrangement is for you to contract and pay that specialist directly. Bell to Sound’s proposal covers Phil’s work, including briefing, coordination and checking where required.

Start with the right next step

If you have not completed a Bell to Sound CRM Health Check, that is the first step. An assessment from another supplier can help focus it, but does not replace it.

Once your Health Check is complete, we can discuss the priority you want to address and whether it fits a bounded improvement project.

If the evidence points to CRM replacement, a major migration or work outside the project’s delivery boundary, we will explain whether separate requirements planning, implementation oversight or specialist support is more appropriate.

Scope details

Do we have to replace our CRM?

Replacement is not assumed. The project focuses on agreed improvements to an existing CRM. If the Health Check shows that replacement is the better route, requirements planning or implementation oversight would need a separate scope.

Can we come straight to you with another supplier’s recommendations?

Yes. Share them when we speak. Relevant findings can help focus our Health Check, but we complete our own assessment before quoting an improvement project.

What do you need from our team?

Access to the agreed system and data, someone who can answer questions and make decisions, and someone to test and approve the result. We confirm these responsibilities before starting, along with the permissions and arrangements for making changes safely.
